WHITE LINES VANS - TERMS AND CONDITIONS 


 

Hirer / Driver’s Liability - The driver(s), even when not also the hirer, is along with the hirer bound by the terms and conditions of the hire agreement. Only the drivers listed on the hire agreement shall be allowed to drive the vehicle unless agreed in advance. It remains the responsibility of the hirer/driver(s) to ensure this throughout the period of hire. 


Hire Period - A day is 24 hours from the time you collect the vehicle unless agreed in advance. The minimum charge is one day. Hirer(s) will be charged additional 24 hours if vehicle is not returned at specified time. Any business lost to White Lines Vans incurred due to late return of a vehicle will also be charged to the hirer. 


Driving License - A valid full UK driving license must be produced at the start of the hire for each driver listed in the agreement. A copy will be taken of each license and be retained by White Lines Vans. In the case of the photo license both parts must be produced. All drivers must be 25 or over and have at least 2 years driving experience with no major endorsements. We may accept drivers with less experience or endorsements when agreed with our insurers. This will usually result in a higher excess being charged, therefore a higher deposit will be taken by White Lines Vans. 


Insurance - A fully comprehensive self-drive hire insurance is included in the charges with an excess of £1000. In the event of any damage the hirer must pay the excess. In addition to the UK the insurance applies to any country that is a member of the EU with prior notice. Upon request we will provide you with a copy of our insurance documents and MOT. Our insurance will not cover theft or damage to hirer’s personal belongings or electronic/musical equipment. All items left and/or stored overnight in the vehicle are done so at the hirer’s own risk. We are not responsible for any loss or damage to the hirer’s belongings or equipment at any point, before, during or after the hire period. All personal items or belongings should be kept out of sight when the splitter is unattended to minimize theft or damage to the vehicle. The cost of damage caused by negligence on behalf of the hirer or by driving into a stationary object will be charged to the hirer. Hirer should insure vehicle is locked when leaving unattended. 


European Insurance - If the vehicle is to be taken to mainland Europe the hirer is liable for an insurance surcharge of £31.80 per week. All European travel must be agreed in advance and insurance surcharges paid in full before the hire commences.


Accident / Breakdown / Recovery - All vehicles are covered by AA Fleet Breakdown Cover for the UK. In the event of a breakdown or accident the hirer must notify White Lines Vans Ltd, AA 24 hour breakdown and the insurance company immediately. The AA will attempt to repair the vehicle by the side of the road. Failing that they will either take the vehicle to the nearest garage for repair or transport the vehicle and passengers to their final destination. In the case of breakdown or accident the vehicle can only be worked on by someone who is duly qualified and licensed. Vehicles travelling in Europe must have personal breakdown cover. If the hirer fails to cover the van for breakdown cover, all costs incurred including damage and safe return of the vehicle back to the UK will be charged to the hirer. The hirer is expected to collect the details of all parties involved in an accident.


Fuel - The vehicle will be hired out and the hirer will return it with a full tank of diesel; in default the hirer will be charged at £1.80 per litre to refill the tank. 


Availability of Vehicles - Every effort will be made to provide the vehicle requested. However, we reserve the right to substitute a similar vehicle should it be necessary. We reserve the right to cancel a hire due to unforeseen circumstances, i.e. vehicle damaged or broken down. In these extreme circumstances we will make every effort to find a suitable replacement for you.

 

Deposits - All hirers are required to pay a £1000 deposit on the first day of hire. This will be returned within 28 days after the vehicle has been returned assuming it is in the same condition as before the hire and no penalty fines have been incurred. 


Cancellation - In the event of a booking being cancelled within 14 days of the beginning of the proposed rental period, White Lines Vans reserves the right to charge 20% for a booking of 3 days hire or more, or £50 for 2 days hire or less. In the event of a booking been cancelled with no more than 48 hours notice, White Lines Vans reserves the right to charge 50% of the total hire rental. If cancelled on day of hire 100% of the booking fee will be charged.


Payment - Payment of the deposit and hire fee must be paid by credit or debit card. The hire period must be determined before the deposit is paid. Paying the deposit confirms the hire agreement. 


Extension / Reduction of Hire Period - If you wish to extend the hire period you must contact White Lines Vans before the end of the original hire period. Any extensions must be paid in advance and are subject to availability of the vehicle. If you wish to reduce the period of hire, cancellation charges, as detailed above, may be applicable. 


Oil / Water / Tyres / Windscreen - The vehicle will be hired out with the correct levels of oil/water and the correct tyre pressure. The hirer is responsible for maintaining the correct levels during the hire period. The cost of any damage caused by failure to do so will be charged to the hirer. Any tyre, wheel or windscreen damage is also the hirer’s responsibility and cost of replacement or repair will be charged to the hirer. 


Delivery / Collection -Delivery or collection is not included in the hire fee. Delivery and collection may be arranged and the cost will depend on the location. 


Cleaning Charge -It is expected that the vehicle is returned clean and tidy. A charge will be applied should the vehicle be returned excessively dirty with rubbish not removed. 


Late Charge - It is expected that the vehicle is to be returned at the previously agreed time and date (as indicted on the hire agreement). If the vehicle is returned later than agreed an additional day’s hire will be charged. Any business lost to White Lines Vans incurred due to late return of a vehicle will also be charged to the hirer. 


Stereo / DVD Player / TV Screens - Any damage incurred to the CD / DVD players or TV screens will result in the costs of the repair or replacement being charged to the hirer. The CD Face in the cab should always be removed when the vehicle is left unattended. Should this be stolen the cost of its replacement and any repair to damage caused to the vehicle will be charged to the hirer. 


Engine Damage - If the engine of the vehicle is damaged or destroyed whilst in the possession of the hirer and said damage is a direct result of negligence on behalf of the hirer (which will be established by an independent source), the hirer will be responsible for the full cost of repairing the damage or of replacing the engine. 


Fines and Charges - Overloaded vehicles are responsibility of the driverThe hirer is responsible for all penalties incurred during the hire (parking, speeding etc) and fines resulting in non-payment of these penalties. A £10 admin fee may be charged for each penalty received. In the event of the vehicle being impounded or otherwise taken out of the possession or control of the hirer or lessor as a result of a breach of this condition the hirer shall continue to pay the rental until such time as the vehicle is returned to the lessor’s possession together with the cost of repair of any damage caused as a result of the breach which is not covered by the lessor’s insurance policy. 


Misuse Of Vehicle – All vehicles must not be used:

-outside of the UK without White Lines Vans consent.

-in motor sport, including racing, pace-making, rallying, reliability trials and speed testing.

-to carry passengers or property for consideration, express or implied.

-to propel or tow any vehicle or trailer without White Lines Vans consent.

-for the purpose of tuition.

-by any person driving when unfit through drink or drugs or with blood alcohol concentration above the limit prescribed by the Road Traffics Acts.

 

WHITE LINES VANS ARE REGULARLY SERVICED AND THEREFORE DO NOT ACCEPT ANY RESPONSIBILITY FOR ANY FINANCIAL LOSS AS A RESULT OF VEHICLE FAILURE. ANY FINANCIAL LOSS INCURRED WILL BE THE RESPONSIBILITY OF THE HIRERS.
